Kahil Fragrance (Kahil Trading) handles your personal data with care. In this privacy policy you can read which data we collect, why we do so and what rights you have. Last updated: 18 October 2026.

We are responsible for processing your personal data as described in this policy.

What data do we process?

  • Order data: name, address, email address, phone number, products ordered, samples chosen and payment status.
  • Payment data: your payment is handled by our payment providers. We do not see full card or bank details.
  • Contact: messages you send us by email, via the contact form or via WhatsApp.
  • Newsletter: your email address, if you sign up.
  • Reviews: your name, your review and any photos, if you write a review.
  • Website use: technical data such as IP address, device, browser and pages visited, via cookies (see below).

Why do we use your data?

  • To process and deliver your order and to provide customer service (performance of the contract).
  • To keep our records, as required by law (legal obligation).
  • To send you the newsletter, only if you have signed up for it (consent).
  • To ask you for a review after your order and to show reviews on the website (legitimate interest).
  • To measure the website and improve advertising, only if you have accepted cookies (consent).
  • To prevent fraud and secure the website (legitimate interest).

Who do we share your data with?

We never sell your data. We only share it with parties we need to provide our service:

  • Shopify, our online store platform, also for emails and payments via Shopify Payments
  • DHL, for delivering your parcel
  • PayPal, Klarna and Mollie (for example in3), if you pay through them
  • Judge.me and Trustpilot, for review requests and displaying reviews
  • Google (Analytics and Ads), only if you have accepted cookies for this

Some of these parties process data outside the European Economic Area. This only happens with appropriate safeguards, such as the European Commission's standard contractual clauses or the EU-US Data Privacy Framework.

How long do we keep your data?

  • Order and invoice data: 7 years, as required by Dutch tax law.
  • Messages to customer service: up to 2 years after the last contact.
  • Newsletter: until you unsubscribe. You can unsubscribe via the link at the bottom of every newsletter.

Cookies

We use functional cookies that are needed for the online store to work, such as your cart. We only place analytics and marketing cookies, such as Google's, if you consent via the cookie banner. You can change your choice at any time or delete cookies in your browser.

Your rights

You have the right to access, correct or delete your data, to restrict processing, to object and to have your data transferred. If you have given consent, you can withdraw it at any time. Send your request to info@kahilfragrance.nl; we will respond within one month.

Not happy with how we handle your data? You can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, or with the data protection authority in your own country.

Security

We take appropriate measures to protect your data against loss and unauthorised use. The online store uses a secure connection (https).
